A copy of what I sent the management of BMP about TRack Event #11
It is late, I am tired as hell, I have stayed off of TR today for a couple of reasons, so I am not in the mood to talk anymore about this for now. With that said here is the long e-mail I sent to the owner and manager of BMP.
Feel free to reply but keep it on topic. It is long and I do not need to be reminded of that so save the "Cliff Notes" type posts.

I just thought I would fire off a summary of the event since it appears we took a small step back on this one. This is quite lengthy because I want to be specific so please review all of it when you have time.
We had a few issues with people not being able to get through the gate that were on the list, but that has happened at almost every event and it always seems to work itself out so no big deal.
I think we need to go back to racers pre-paying for the event especially given the huge demand we are getting. We had 70 or so cars that were on the pre-paid list show up by 6:00 then only a few more trickled in by 7:00. So at 7:15 (later than I wanted to wait) I released whatever was left up to 120 cars and from what I understand it was almost 35 spots. This creates issues on many fronts so I think going back to the pre-pay will eliminate many problems and will help things run smoother. We can discuss this some other time.
But we have a little bigger issue that I can barely keep under control on our board. It happened the last 1:30 hours of the event and it was made aware to me with only about a hour to go. The area between the water boxes was closed off and all cars were being routed right through the water boxes. This is something I post in big letters on our board as something no one had better do unless they have a FWD car with slicks or a Pro car so that the racing surfaces can stay clean. While the boxes were mostly dry many started complaining the starting area was getting slick so someone brought it to my attention.
It was explained to me this routing through the water boxes was happening because reports of rain were in and the rain was not far from the track. Also another reason given was that the lines had grown long due to a lengthy track clean-up (which was true) and they wanted to get things moving. At this point I had nothing left to do but agree since the lines through the boxes were already formed and for all I knew it was going to be raining any moment. Well the rain did not happen at the track nor at my house 50 miles north. and two hours later.
As you know the water box area has been a topic in the past but it was usually due to no one staffing it when people needed it and you guys corrected the issue right away (the next event) so hopefully we can do the same with this concern. The new water box issue has really enraged a lot of our users and people I personally invite from other websites much more than I ever expected so I feel it somewhat reflects on me whether it does or not which I do not like. I try to make these things fun and flawless for everyone which as you know first hand is not easy and I realize sometimes stuff happens, hopefully this will not happen again since it is weighing heavily on a lot of people's minds for future events.
The upsetting part to me is everything else went very smooth as usual (other than the enraged guy from ANT) but this last hour or so flub seems to have overshadowed everything else for quite a few people which really makes all of the hard work by your guys and myself seem like it was for nothing, at least that is how I see it.
One of my top priorities for these events is to give people a alternative to waiting in regular test and tune waiting lines with 175 - 225 cars where they might only get a few runs. And while the lines did back up twice and only because of oil downs I would have much rather had the lines stay long at the end of the night instead of what happened. This way I could have quelled the few that would have complained openly about the long line at the end of the night vs. what I have to deal with now.
While I did not agree with how the cars were routed at the end of the night I sincerely thanked all of the staff for doing a great job as usual not expecting that this was going to be such a big ordeal online when I got home. Today I still think they did a great job minus the routing issue so if we could please address this for future events I am certain our users / racers will be very pleased.
At the end of the day this lengthy e-mail and issues with the event seem quite trivial to me but I strive to do everything properly. Sometimes I question myself about why I even bother taking these things on then some people remind me why via a nice PM or post online.
I am going to post a few parts of this e-mail online so that our users can see I am listening to what they have to say and that everyone involved on your end and ours will make it right for future events.

The best engine in the world is the vagina, it takes any size piston, its self lubricating, starts with 1 finger, and every 4 weeks does its own oil change. It's just a pity the management system is so fucking temperamental.
That was very diplomatic. Even though I didn't go the track event I can still appreciate the time you must put into planning/organizing something that size, as a volunteer no less.

Well put Scott. And as far as pre-pay goes, I would have no problem doing that in future events. I too appreciate the time and effort you put in for the TRack Days, and thank you for taking the time to address the concerns w/ the track.
